Phase 1: Setting Up AI in the School Workspace
Using AI in schools isn't about using new tech tools. It’s about creating safe, practical systems that support your administrative work. The approach involves ensuring that teachers use it to model to students how learning tasks must not be offloaded.
Instead, tasks should be valued as part of the productive struggle, the quest to learn concepts and skills as part of the ethical and pedagogical practices of each classroom.

Enforce Privacy Boundaries: Enterprise school AI workspaces must comply strictly with state directives and Student Data Privacy standards (e.g., ST4S) to ensure prompt data is never used to train public models.
Protect Data Sovereignty: Teachers must anonymise all student profile data (e.g., using "Student A" or group score bands instead of real names) prior to running diagnostics or PAT/NAPLAN analyses.
Implement Gatekeeper Prompts: System prompts should lock the AI into designated curriculum sources (such as ACARA v9, VCAA V2 etc), preventing hallucinated outcomes and enforcing local school language.

Reconceptualise Interactivity: Treat LLMs as dialogic partners to interrogate curriculum standards, unpack dense progressions by using UbD framework analysis tools such as "Know, Understand, Do" to target content, and design rubrics.
Protect Intellectual & Cultural Property: Establish strict workspace safeguards for reviewing Indigenous Cultural and Intellectual Property (ICIP) to prevent AI from misrepresenting or inappropriately generating cultural knowledge.

Plan For The Net Workload: Workspaces deliver net time saved when teachers collaborate in teaching teams to decide on vital annual targets arising from the School Strategic Plan.
Solve the "Blank Page" Bottleneck: Rather than forcing educators to build units from scratch, leverage AI for "Gap Analysis"—updating existing units against curriculum standards. On the other hand, there may exist omissions that require addressing too, if existing units have not enabled every student to achieve learning outcomes.

Pivot Away from AI Detectors: AI detectors are notoriously unreliable; school workspaces should instead help leaders redesign assessments around process-based work, sequential drafting, and oral defense.
Scaffold Productive Struggle: Guard students against delegating core critical thinking by prompting AI to act as a structured tutor that asks guiding questions rather than handing out finished answers.
